Terms and Conditions
Outlined below are our terms and conditions that apply to bookings at Tapton Hall, whether you make them via our website, phone or in person.
A provisional booking for a function is held for a maximum of fourteen days. Deposit
At the time of booking, anticipated numbers attending must be conveyed to the venue. A non-refundable deposit is payable within 14 days to secure the booking.
Cheques to be made payable to The Sheffield Masonic Hall Company Ltd. Alternatively we accept payment by cash, credit card or BACS.
Final numbers and menu choices are required no later than 7 days before the event. The amount payable by the customer shall be calculated on this final number and invoiced on receipt of the final numbers. The final invoice will be minus any deposit paid and must be paid on receipt of this invoice and prior to the event.
Amendments and Cancellations
Any reduction in numbers within the 7 days prior to the event is non refundable. An increase in numbers within the 7 days prior to the event will be permitted only at the discretion of the Head Chef and will be payable at the amounts stated in the event contract and payment will be due immediately. In the event of a cancellation, the venue must be notified in writing. The company, SMHC, will retain the deposit.
Period of Notice and Cancellation Fees
Greater than 1 month - Deposit only
Between 2 weeks and 1 month - 50% of anticipated revenue
Less than 2 weeks - 100% of anticipated revenue
The company may at its discretion allow the booking to be transferred to an alternative date at no extra cost to the customer.
We recommend that you take out adequate insurance to cover yourselves against any eventuality.
The venue reserves the right to cancel the booking and return any monies paid should they feel the reputation of the venue is in question or any payment dates missed.
The facilities available to the function will be agreed at the time of booking. We retain the right to use other parts of the building for other business.
SMHC reserves the right to carry out any essential building works.
SMHC will treat each event separately and where other events are taking place on the site we will ensure neither one has an effect on the other.
Food & Beverage
Please note that the venue does not permit food or beverage refreshments of any nature (with the exception of Celebration Cakes) to be provided by any party other than SMHC and does not allow corkage at SMHC. NB Raffle prizes and gifts are included.
Where possible the venue will assist in the storage of equipment. SMHC is not responsible for food or items e.g. Cake, presents etc bought onto the premises or storage items of same.
Any buffet food will be removed 1 ½ hours after serving as per health and safety regulations.
The venue reserves the right to withdraw any menu item or wine and offer an alternative choice.
Foam aerosols are not permitted at any function. The customer is responsible for all allocated rooms during the period of the event. Any damage to rooms or their contents incurred as a result of the customer, their guests or representatives, acts, omissions or default will result in a charge to remedy such damage.
We reserve the right to escort any guests from the premises that, in the opinion of the management, are causing disruption or damage. The management reserves the right to halt, and if necessary, terminate any function where in the judgement of the management, the conduct of those attending the function has exceeded the normal bounds of propriety, the safety of our staff or other persons is at risk or damage to the premises is likely to ensue.
Health & Safety Requirements
The customer is responsible for ensuring all External Contractors e.g. Discos/bands are fully covered by a Public Liability Insurance Certificate (no less than £5m cover). Any electrical equipment supplied by the client or their chosen external contractors must be P.A.T. tested (Portable Appliance Tested) and verified with up to date documentation. Proof of all health and safety documentation is required by the management of the venue and we reserve the right to refuse participation if this is not received prior to the event.
We are proud of our location of outstanding beauty and peaceful tranquillity and endeavour to protect on site residents and the local community from any noise disturbance. We also ask that the function be mindful of other functions and staff in terms of noise disturbance. If noise levels are deemed by management to be exceeding acceptable levels, the function agrees to reduce the level to a level stipulated by management. We regret that we are unable to allow outside musical entertainment or Fireworks at SMHC.
Unless prior arrangements are made by the function with SMHC, the bar facilities will close at 12am. The function agrees that any musical entertainment will cease at the same time as the bar facilities.
Smoking is strictly prohibited except in the designated outside spaces.
The company shall not be liable for any failure to perform its obligation(s) to the client(s) in whole or in part as a result of any of the following circumstances 1) strikes or industrial action, 2) Fire, 3) civil commotion, 5) Natural disaster, 6) Failure of services.
Please ensure all items left over from a function are collected by noon the following working day.
N.B. All prices include VAT and are correct at time of going to press but may be subject to change due to increases in inflation or Government tax changes. Gratuities are at the discretion of the client and are shared by all members of staff. VAT is applicable at rates ruling on the day events occur. No deviation to these terms and conditions can be made unless authorised by a currently serving Director of the Company.
